Start with DMS integration — book against real bay availability

Everything else depends on this. If your agents schedule into a calendar that isn't the service department's calendar, every appointment is a guess and every guess generates rework at the rooftop.

  • Book directly into the DMS slot, not into a shadow calendar that someone reconciles later

Let customers reschedule by text

Attack the no-show rate directly

No-shows are the most expensive line item in service scheduling because the cost is invisible — an empty bay doesn't send an invoice. Treat the no-show rate as a managed metric:

  • Confirm every appointment twice: once at booking, once the day before

Not every service call is a scheduling call. The customer with a check-engine light on the highway should not sit in the same queue as the customer booking a tire rotation.

Measure appointment conversion and no-show rate

Two numbers tell you whether the operation works:

  • Appointment conversion — of the service-intent contacts that reach you (inbound calls, campaign responses, chats), what share end in a booked appointment? Track it per rooftop, per channel, and per campaign with real-time dashboards tied to the raw event stream
  • No-show rate — of booked appointments, what share actually arrive? Track it per rooftop and per booking source

Per-dealership reporting and scorecards make these comparable across the group, which is what turns them into management tools: the rooftop converting at half the group average has a process problem you can now see and fix.
